Metrc inventory reconciliation for dispensaries

Reconciliation means making your shelf, your point of sale and Metrc agree, and understanding why when they do not. This guide covers the nightly checks, the kinds of mismatch, and how to fix each one.

Not legal advice. This is a practical operating guide. Rules change: check the current Oklahoma Medical Marijuana Authority (OMMA) rules, and your own counsel, before relying on any of it.

Why numbers drift

  • Sales not reported yet. The shelf goes down at the sale; Metrc goes down when the receipt is accepted.
  • Adjustments made in one place only. A count correction in your POS that never went to Metrc, or a fix made on Metrc's website that your POS never heard about.
  • Voids and returns. A void that Metrc refused, or a return put back on the shelf without a Metrc adjustment.
  • Transfers. Packages received in Metrc but not checked in, or checked in with different quantities.
  • Units. A package your POS counts in grams and Metrc counts by the each, or the other way round.

Types of mismatch

MismatchWhat it meansUsual fix
Quantity mismatchAn active, tagged package has different quantities in the POS and Metrc.Find the cause: unreported sale, unrecorded adjustment, or count error.
Missing in POSMetrc has a package with stock that your POS does not.Import it, or find the transfer that was not checked in.
Missing in MetrcYour POS has a tagged package that Metrc does not show as active.Check the tag; it may have been finished or transferred.
Negative balance in MetrcMetrc thinks more left the package than it ever held, usually a duplicated or over-reported receipt.Void the bad receipt or adjust the package in Metrc.
Unit mismatchThe unit of measure differs.Set the POS package's unit to Metrc's.
Lab failed but activeA package that failed testing is still active for sale.Pull it from sale.

Nightly and full checks

A quick check reads only the packages Metrc changed recently. A full check compares every package at your license, and is the only way to find packages missing from Metrc. Do both: quick checks during the day, a full comparison regularly, and always before an inspection.

Before you call something a mismatch, subtract sales that have not reached Metrc yet. A shelf that is lower than Metrc by exactly those sales is correct; raising it back up would bring back stock you have already sold.

Fixing a mismatch

  1. Clear unreported sales first. Many mismatches disappear once failed sales report.
  2. Read the package history. Sales, adjustments, moves and counts, read by date, usually show where the numbers split.
  3. Decide which number is right. If unsure, count the package.
  4. Correct the wrong side once, with a reason. When setting Metrc to your quantity, remember any sales still waiting to report, or Metrc will take them off twice.
  5. Re-check after the next sync.

Physical counts

  • Blind counts, where counters cannot see the expected number, give honest variances.
  • Count one room at a time in a big store, and finish moving stock before you start.
  • Count on-hold stock too; it is still physically in the store.
  • Investigate variances before approving. Approved counts change live inventory.

How GreenPOS does it

  • Inventory sync results list quantity mismatches, missing in POS, negative balance in Metrc, missing in Metrc, unit mismatches and lab-failed-but-active packages.
  • Sync Metrc (Packages page) and Sync Inventory (Metrc page) check what changed; tick Full sync — compare every package or click Run full sync to compare everything. A full comparison also runs automatically every other night.
  • Unreported sales are allowed for: the nightly sync subtracts sales still waiting for Metrc before calling something a mismatch, and when GreenPOS sets a quantity in Metrc it adds those sales, showing the exact number first (for example "Metrc will be set to 19 g (15.5 g on hand + 3.5 g from 1 sale not yet sent to Metrc)").
  • Auto-Update Quantities from Metrc on Settings → Compliance is off by default.
  • Empty packages at zero in both systems are finished in Metrc by the nightly sync; packages with a negative Metrc balance are listed so you can fix them in Metrc.
  • Inventory counts can be blind, scheduled, limited to one room, and filtered to Metrc Mismatches, with Update Metrc for managers whose role has Metrc Package Adjustments.

Questions owners ask

Why is my POS lower than Metrc?

Often because some sales have not reached Metrc yet. The shelf has already gone down and Metrc has not. Clear the failed sales first; the numbers usually line up once they report.

Should I turn on automatic quantity overwrites?

Only deliberately. Overwriting your counts with Metrc's hides the cause of a mismatch. In GreenPOS the Auto-Update Quantities from Metrc setting is off by default.

Why won't Metrc finish an empty package?

Metrc only finishes a package that is exactly zero. A package with a negative balance in Metrc is refused until it is adjusted to zero.

How often should I do a full comparison?

Regularly. GreenPOS runs a full comparison automatically every other night, and you can run one any time with Full sync.
